This Privacy Policy explains how Medici Living Ltd (“Medici Living”, “we”, “us”, or “our”) collects, uses, and looks after personal information when you visit mediciliving.co.uk or otherwise engage with us. It also sets out your rights in relation to your personal information under applicable UK data protection law.

1. About Medici Living

Medici Living Ltd is a design and renovation studio delivering staging and renovation services for rental properties, short-lets, and Airbnbs in the United Kingdom, with a focus on London and Lincolnshire.

For the purposes of UK data protection law, Medici Living Ltd is the data controller responsible for personal information collected via this website and through enquiries. Our company registration details are:

  • Registered name: Medici Living Ltd
  • Companies House number: 16548196
  • Registered office: Flat 9 Hatstone Court, 335 Finchley Road, London, Greater London, NW3 6EN

2. Information we collect

We collect personal information that you provide to us directly, and a limited amount of technical information automatically when you visit our website. This may include:

  • Identity & contact data: name, email address, telephone number, and property address where you submit an enquiry via our consultation form.
  • Enquiry content: details of the service, timeline, and any information you choose to share about your property or project.
  • Communications data: any correspondence you exchange with us by email, phone, or via our website.
  • Technical data: limited technical information such as IP address, browser type, device information, and general usage data captured by the analytics service described in section 5.

We do not intentionally collect special-category personal data or information from children through this website.

3. How we use personal information

We use personal information only where we have a lawful basis to do so. Typical purposes include:

  • Responding to consultation enquiries and quote requests.
  • Discussing potential projects, agreeing scope, and providing services you have engaged us to deliver.
  • Managing our client relationships and correspondence.
  • Complying with legal, tax, and accounting obligations.
  • Protecting the security of our website and understanding how it is used so that we can improve it.

The lawful bases we rely on include: performance of a contract (or steps taken at your request prior to entering into a contract), our legitimate interests in operating and improving our business, and compliance with legal obligations. Where required, we will rely on your consent — which you are free to withdraw at any time.

4. Contact forms & enquiries

When you submit our consultation form, the information you provide is transmitted to our email inbox via a third-party form-handling service (Formspree, operated by Formspree, Inc. in the United States). Formspree processes the submission on our behalf and forwards it to us.

This means the personal information you enter into the form is processed on servers located outside the UK. Where personal data is transferred outside the UK, appropriate safeguards are applied in line with UK GDPR requirements.

We use enquiry information solely to respond to your request and, where appropriate, to progress a project with you.

5. Cookies & website analytics

Our website uses a small number of cookies and similar technologies. Non-essential cookies are only set with your prior consent, which you give by clicking “Accept analytics” in the cookie banner shown on your first visit. You can change your choice at any time using the Cookie Preferences link in the footer of every page.

Analytics (only with your consent) — Google Analytics 4. If you accept, we use Google Analytics 4 (operated by Google LLC, with Google Ireland Limited acting as the data controller for users in the UK and EEA) to understand how visitors use the site in aggregate. Google Analytics sets cookies whose names begin with _ga and processes information such as your IP address (which we configure to be anonymised), device and browser type, referring URL, pages viewed, and interaction events. Data may be transferred to servers outside the UK, including the United States, under the transfer mechanisms described below. Our Google Analytics Measurement ID is G-0ZSYY37V7W.

If you decline or later withdraw consent, Google Analytics is not loaded and any existing _ga cookies set by this site are cleared.

Platform diagnostics. Our website is hosted on a platform that has previously injected a diagnostic script (PostHog). We do not use PostHog as our analytics tool. On every page load we programmatically opt out of PostHog capturing and attempt to clear any related cookies from this domain. If you notice any residual ph_ cookies, please let us know via section 9 and we will investigate with our hosting provider.

Google Fonts. We use Google Fonts (operated by Google Ireland Limited) to serve web fonts. Google may receive your IP address when a font is requested. Google Fonts does not set cookies on our website.

Image content delivery. Some images shown on the website are served from image libraries (Unsplash and Pexels). These services may set their own cookies on their own domains when their images are loaded; they do not set cookies on mediciliving.co.uk.

You can additionally control cookies via your browser settings. Blocking analytics cookies will not prevent you from using the website.

6. Sharing information with service providers

We do not sell personal information. We share personal information only where necessary to operate our business, and only with parties that provide appropriate protections. This includes:

  • Formspree, Inc. — handles submissions from our consultation form and forwards them to our email inbox.
  • Google LLC and Google Ireland Limited — provide Google Analytics 4 (only when you accept analytics cookies) and Google Fonts.
  • Website hosting & delivery providers — used to host and serve the website.
  • Email providers — used to correspond with you.
  • Professional advisers (for example accountants and lawyers) and regulators, courts, or public authorities where we are legally required to share information.

Where personal information is transferred to a country outside the United Kingdom, we rely on the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or another safeguard recognised under UK data protection law.

A current list of processors can be provided on request via the contact details in section 9.

7. Data retention

We retain personal information only for as long as reasonably necessary to fulfil the purposes for which it was collected, including satisfying any legal, accounting, or reporting requirements.

Enquiry information from prospective clients who do not proceed with us is retained for a limited period and then deleted. Where you become a client, project and client records may be held for longer in accordance with our legal obligations.

8. Your privacy rights

Under applicable UK data protection law, you have certain rights in relation to your personal information. Depending on the circumstances, these may include the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate personal information.
  • Request erasure of your personal information.
  • Restrict or object to certain processing of your personal information.
  • Request portability of your personal information.
